Planning a Mountain Wedding: What a Wedding DJ in Asheville, NC Needs to Know

SoundChoice DJ · · 6 min read

Outdoor sound, sunset timing and a real rain plan. What a mountain wedding asks that a ballroom does not.

Couples choose Western North Carolina for the view, and the view comes with conditions. A mountain wedding is usually outdoors, usually at elevation, usually with weather that changes faster than the forecast, and usually with a sunset that decides your timeline for you.

None of that is a problem. It just needs planning that a ballroom does not.

Outdoors, there is nothing to help you

Indoors, walls and a ceiling send sound back into the room and give you roughly twice the perceived level for free. Outdoors that is withdrawn. Everything the back row hears has to be sent there deliberately.

Three things fix most of it:

A lapel microphone on your officiant. High on the chest, not clipped low where a jacket rustles. Vows are the quietest thing anyone says all day and the thing your guests most want to hear.

A dedicated system at the ceremony site. Not the reception rig placed hopefully nearby. The reception system is usually already set up somewhere else, and one rig cannot be in two places.

Prelude music from thirty minutes before the stated start. An open field in silence while guests find seats feels like waiting. This is why our coverage begins half an hour before your ceremony time rather than at it.

Wind is the other outdoor variable. It moves across a microphone and it moves sound away from your guests. It also cannot be scheduled, which is why intelligibility matters more than volume up here.

Sunset runs your timeline

Between late June and late October, sunset in the mountains moves by more than two hours. A five o'clock ceremony in July sits in full light. The same five o'clock in October has the light going before dinner is cleared.

Look up sunset for your actual date before you set a ceremony time, then build backward. Three things move with it:

  • Photographs. The good light is the half hour before sunset. If that lands mid dinner, either dinner gets interrupted or those photographs do not happen.
  • The first dance. In an open field, a first dance in full daylight looks like a rehearsal. After the light drops it looks like the photograph you had in mind.
  • Dance floor lighting. It does nothing until the sun is off the floor, so a summer reception cannot peak before the light does.

Have a real rain plan, not a hope

Mountain weather is genuinely less predictable than it is down in the Upstate, and afternoon storms in summer are routine.

A real rain plan answers three questions: where does the ceremony move to, who decides and by when, and does the backup space hold your full guest count seated. A covered porch that fits ninety of your hundred and forty guests is not a plan.

Tell your DJ the backup location when you book, not on the day. Moving a ceremony indoors means moving a sound system, and that is a fifteen minute job if it was planned and a scramble if it was not.

Venues we have in our books

We work Upstate South Carolina and Western North Carolina, including Asheville and Hendersonville and the surrounding areas.

In Asheville, our venue list includes the Biltmore Inn, Cedric's Tavern at Biltmore, Circa 29, the Country Club of Asheville and Homewood. In Hendersonville, Jeter Mountain Farm, Kanuga Inn and Lodging, Skylaranna Hotel and Resort, and The Horse Shoe Farm.

You can see the full lists on our Asheville and Hendersonville pages. If your venue is not there, tell us the name and we will tell you honestly whether we have worked it.

Two logistics worth settling early

Power

Farm and field venues are the most likely to have power in the wrong place, or not much of it. Ask where the outlets are relative to where the dance floor will be, and whether the venue has ever had a full sound and lighting setup in that spot before.

Travel

There is no travel fee inside the Greenville, Spartanburg and Anderson areas. Past sixty miles one way, travel is $0.75 per mile for the round trip, and sixty is a threshold rather than an allowance, so the whole drive is billable once you cross it.

For Western North Carolina that fee is usually in play. We calculate it from your venue's actual address and the route we will actually drive, so ask when you inquire and you will get a real number instead of a range.

How an experienced wedding DJ helps

Mountain weddings have more moving parts than most, and the ones that go smoothly are the ones where the parts were named in advance.

The plan is written down before the day. We meet ahead of your wedding and put the running order, your song requests, the wedding party names and your do-not-play list into our client portal. Your DJ reads it before they arrive.

Two locations get planned as two locations. Ceremony site, cocktail space, reception room. On acreage those can be a walk apart, and the twenty minutes of silence while everyone moves between them is the thing guests actually notice.

Someone owns the cues. The MC half of the job is what holds an outdoor timeline together when the ceremony starts nine minutes late because a shuttle was slow.

Reading the room is still the whole job. A mountain guest list is often half local and half flown in, and the mix on the floor at ten o'clock is a judgment call made in the room, not in a spreadsheet in April.

Some people want the number before anything else. Build your night and the quote comes back on the spot. Others would rather describe the day to a person first, and that is a fair way to start too.
